To rearrange pages in Word, select the content you want to move, cut it, click its new location, and paste it. On Windows, you can also drag headings in the Navigation Pane to move whole sections. Moving content can change where pages begin and end.
The desktop steps apply to Word for Microsoft 365 and Word 2024 on Windows and Mac, with separate options for the web and mobile devices. Windows clipboard history and Voice access instructions use Windows 11 menus.

Move page content with cut and paste
Select the text and other content you want to relocate, then open Home and select Cut. Click the destination and select Home > Paste. Repeat for additional pages or content blocks.
On Windows, you can press Ctrl + X to cut, then press Ctrl + V at the destination. On Mac, use Command + X and Command + V.
To select an entire page in desktop Word, click within that page and press Ctrl + G on Windows or Option + Command + G on Mac. In Enter page number, type the following:
\pagePress Enter, then select Close. Check the selected content before cutting it, click the intended destination, and paste using your platform’s shortcut.
Apply headings to move whole sections on Windows
Select a section title, open Home > Styles, and apply Heading 1 or another appropriate heading style. Apply heading styles to the other section titles you need to move.
Open View and select Navigation Pane, then select Headings within the pane. Drag a heading to its new position to move that section’s associated content. Check the resulting order before moving the next section.
The pane’s page thumbnails let you move around the document; use its headings to rearrange content. These heading-dragging instructions apply to Windows desktop Word. On Mac or the web, use cut and paste instead.
If a title is missing, confirm that you applied a heading style and check its location. Headings inside tables, text boxes, headers, and footers do not appear in this pane. Select and move the content directly when its heading cannot appear there.
Move paragraphs in Outline view
Open View > Outline, then select the paragraphs you want to relocate. On Windows, press Alt + Shift + Up Arrow to move them upward or Alt + Shift + Down Arrow to move them downward. Repeat until the selected content reaches the intended position.
On Mac, use Control + Shift + Up Arrow or Control + Shift + Down Arrow. You are moving paragraphs, so check the resulting page boundaries after rearranging them.
Collect separate blocks before moving them
To collect blocks in the Office Clipboard on Windows, open Home and select the dialog box launcher in the Clipboard group. Cut each block you want to relocate. Click the first destination, select the arrow beside the desired Clipboard item, and choose Paste.
Continue inserting stored blocks in your preferred order. The Office Clipboard holds up to 24 items. Its multiple-item task pane is not available on Mac.
Use the Spike when you want to insert several selections together. On Windows, select each block and press Ctrl + F3, then click the destination and press Ctrl + Shift + F3. On Mac, collect with Command + F3 and insert with Command + Shift + F3.
The Spike insertion shortcut inserts the complete collection and empties the Spike. On Windows, you can insert without emptying it by selecting Insert > Quick Parts > AutoText > Spike. Alternatively, type spike and press Enter.
For Windows 11 clipboard history, press Windows + V and select Turn on if history is disabled. Cut the desired content blocks in Word, click a destination, press Windows + V, and select a stored item to insert. Repeat in your preferred order, keeping within the limit of 25 entries and 4 MB per item.
Move content in the browser or on a tablet
In Word for the web, open the document’s mode menu and select Editing. Select the content, press Ctrl + X on Windows, click the destination, and press Ctrl + V. On Mac, use Command + X and Command + V.
Browser clipboard restrictions can affect the ribbon’s Cut and Paste commands. Use the keyboard shortcuts when those commands are blocked. Firefox’s ribbon clipboard commands require additional clipboard access.
For desktop tools, select Editing > Open in Desktop App. You need an installed, licensed desktop Word application and access to the document. Use heading dragging on Windows, or cut and paste or Outline view on Mac, then save the document.
On an iPad or Android tablet, double-tap the first word and extend the selection with its handles. On iPad, tap Cut, tap the destination, then tap Paste. On an Android tablet, tap the scissors icon, tap the destination, then tap the clipboard icon.
Use Voice access or Copilot to move content
To use spoken commands on Windows 11, open Start > Settings > Accessibility > Speech and turn on Voice access. During initial setup, choose a supported language and select Agree and continue. After setup, select the content in Word and say Cut that. Position the insertion point at the destination and say Paste that.
With an eligible Copilot entitlement and organizational access in Word for Microsoft 365 on Windows or Mac, select the relevant content. Select Copilot from the mini toolbar or open Copilot from the document, then describe the desired section order. Review the proposed result and select Replace to apply it or Regenerate to request another result. Check both wording and pagination because Copilot can change the content while reorganizing it.
Fix formatting changes and blocked editing
After moving content, review its formatting and surrounding page boundaries. In Windows desktop Word, select Paste Options > Keep Source Formatting when the moved content should retain its formatting. Page boundaries can still change after the move.
If the Paste Options button is missing, open File > Options > Advanced. Under Cut, copy, and paste, select Show Paste Options button when content is pasted, then select OK.
When editing is blocked, select Viewing or Reviewing in the upper-right mode menu, then choose Editing. If that option is unavailable, obtain edit permission from the document’s owner. For a desktop document configured to open read-only, select File > Info > Protect document and uncheck Always Open Read-Only.
Document protection can also prevent section moves. If you are authorized to remove it in Windows Word, open Review > Protect > Restrict Editing and select Stop Protection. Enter the protection password when requested, then move the content.
Export a PDF for page thumbnail rearrangement
For page-thumbnail dragging, first save your Word document as PDF. On Windows, select File > Save a Copy, or File > Save As for an unsaved file. Select Browse, choose PDF, and select Save.
On Mac, select File > Save As, give the PDF a different name from the original document, and choose PDF under File Format before saving. Rearranging this separate PDF leaves the original Word document’s order unchanged.
Reorder the PDF in Preview or Acrobat
On Mac, open the exported PDF in Preview and select View > Thumbnails or View > Contact Sheet. Drag the page thumbnails into the desired order, then save.
If you have access to Acrobat’s web page-organizing tool, select Edit > Organize pages on the Acrobat web homepage. Choose Select files and upload the exported PDF, then drag its thumbnails into the desired order. Select Save to save the result to Adobe cloud storage.
If you already have desktop Acrobat with access to its page-organizing tool, open the PDF and select All tools > Organize pages. Drag the desired thumbnails into their new positions. Alternatively, select More > Cut on a thumbnail, right-click between the destination thumbnails, and select Paste. Save the PDF when its pages are in the intended order.
Frequently Asked Questions
Can you move selected content using a keyboard destination instead of pasting?
In Windows desktop Word, select the content and press F2. Use the arrow keys to position the cursor at the destination, then press Enter to complete the move or Esc to cancel. On Mac, F2 performs Cut instead.
Can you drag selected text directly to another location?
Yes, in desktop Word with drag-and-drop editing enabled, select the content and drag the selection to its destination. If dragging does not move it, use cut and paste.
Can you rearrange content on a phone with an external keyboard?
Yes, you can use cut-and-paste shortcuts with a compatible external keyboard. On iPhone or iPad, select the content, press Command + X, position the insertion point, and press Command + V. On Android phones and tablets, use Ctrl + X and Ctrl + V.
Can you turn a reordered PDF back into a Word document?
In Windows desktop Word, select File > Open, open the reordered PDF, and select OK. Word converts a copy into editable content that you can save as a Word document. Microsoft says conversion works best with mostly textual PDFs and can change layout, line breaks, and pagination.
