Convert the video to an MP4 with H.264 video and AAC audio, then insert the converted copy into PowerPoint. Microsoft recommends this encoding for PowerPoint for Microsoft 365 and PowerPoint 2024 on Windows and Mac. A file ending in .mp4 can still use different codecs, so the extension alone does not establish compatibility.

Start with conversion, then check the media components your file or Windows edition needs. If PowerPoint rejects multiple compatible files, move on to updates and application repair. The Windows settings and repair steps below use Windows 11 menus.

The short version

  • Convert first: Create a new MP4 containing H.264 video and AAC audio.
  • Insert the new copy: Choose the converted video through PowerPoint’s file insertion menu.
  • Check special requirements: Windows 11 N needs its media components, and WebM with Vorbis audio requires Web Media Extensions on Windows.
  • Repair conditionally: Update or repair PowerPoint when compatible files continue to fail.

Convert the video to a compatible MP4

Use HandBrake’s official download page to get the version for your operating system, checking the requirements listed for the current release. HandBrake runs on Windows, macOS, and Linux. Its Fast 1080p30 preset produces an MP4 with H.264 video and AAC stereo audio, matching Microsoft’s recommendation.

Open HandBrake, select Open Source, and open the rejected video. Under Presets, choose Fast 1080p30. Set Destination to a new output file, then select Start.

Once conversion finishes, insert the output into PowerPoint using the file picker steps below. Choose the newly encoded copy when inserting it. If that file is still rejected, continue with the applicable media component checks.

Use H.264/AAC MP4 instead of older conversion targets such as WMV, AVI, or MPEG-2. Microsoft marks support for those older formats as limited and deprecated in PowerPoint for Windows version 2505 and later. Installing QuickTime 7 for Windows is also outdated advice because Apple no longer supports it.

Reexport through Clipchamp as an alternative

If you prefer Microsoft’s editor, access it through the Microsoft Clipchamp product page. You can use the desktop or browser editor on a computer with an eligible account. This route depends on the source video importing successfully into Clipchamp.

Add the video to a Clipchamp project and drag it onto the timeline. Select Export, then choose 1080p. With a personal account, the exported video downloads to your computer.

With a work or school account, choose the resolution and storage location, then select Export. When processing finishes, select Save to your computer. Choose the exported MP4 when you return to PowerPoint, rather than the .clipchamp project file.

The project file holds your editing project, while the exported MP4 is the video you insert. If the source cannot import into Clipchamp, or PowerPoint still rejects the exported MP4, use the HandBrake conversion workflow instead.

Insert the converted file into your slide

In PowerPoint for Microsoft 365 or PowerPoint 2024 on Windows, select your slide in Normal view. Open Insert > Video > This Device, choose the converted file, and select Insert. If that label appears in your version, select Video on My PC instead of This Device.

On PowerPoint for Microsoft 365 for Mac or PowerPoint 2024 for Mac, select Insert > Video > Movie from File. Choose the converted video and select Insert. Select the new output from HandBrake or Clipchamp when choosing your file.

Embedding and linking both require a compatible video. Linking can reduce the presentation’s size, but the video must remain accessible. If the converted file still fails to insert, check the Windows media requirements next or move to updates on a Mac.

Install media components for your Windows edition or file

The Media Feature Pack applies to Windows 11 N editions missing media components. It is not a universal codec installer for ordinary Windows editions. Skip this fix unless you use an N edition that needs those components.

On Windows 11 N, open Settings > System > Optional features > View features. Select Media Feature Pack, then select Next > Add. On Windows 11 N builds that place the category under Apps, open Settings > Apps > Optional features instead, then continue with View features.

Windows Update connectivity is required to download optional features. If the page is hidden on a managed PC, ask IT to review the policy that hides Windows features. After installation, restart the computer even if Windows does not request it, then try inserting the video again.

A separate requirement applies to WebM files containing Vorbis audio in current PowerPoint for Windows. Install Microsoft’s Web Media Extensions, then retry that WebM file. You can also convert the video to the recommended H.264/AAC MP4.

Update PowerPoint when compatible videos still fail

For Microsoft 365 or Office 2024 on Windows, open PowerPoint and select File > Account > Update Options > Update Now. Select Enable Updates first if updates are disabled. If Update Options is missing because your organization manages updates, contact its help desk.

For Microsoft 365 for Mac or Office 2024 for Mac installed from Microsoft, select Help > Check for Updates > Update. If you installed PowerPoint through the Mac App Store, open App Store > Updates instead. Select Update beside PowerPoint, or select Update All.

Updating is a general troubleshooting step and does not guarantee that a particular rejected video will insert. After updating, try the converted video again. If compatible files continue to fail on Windows, close and reopen PowerPoint before proceeding to application troubleshooting.

Investigate hangs and repair the Windows installation

When inserting a video makes PowerPoint hang or crash, Safe Mode can help investigate add-in interference. Launch PowerPoint with this command:

powerpnt /safe

If the failure disappears in Safe Mode, open File > Options > Add-Ins. Under Manage, select COM Add-ins > Go. Disable the installed add-ins, restart PowerPoint normally, and re-enable the add-ins individually to identify the conflict.

For problems that persist across compatible files, repair your current Click-to-Run Microsoft 365 or Office 2024 installation on Windows 11. Repairing an Office suite affects the entire suite. Right-click Start, select Installed apps, and find Microsoft 365, Office, or standalone PowerPoint.

Open the ellipsis menu beside the application and select Modify. Choose Quick Repair > Repair, then retry insertion. If the problem continues, choose Online Repair > Repair for the more comprehensive repair.

Use another insertion option when you need a workaround

PowerPoint for the web provides another way to insert a local video. Open the presentation in the browser, select Insert > Video > This Device, choose the video, and select Open. The insertion limit is 256 MB, and MP4 is recommended.

The browser route does not guarantee that an invalid video will insert, so choose your converted copy. If you already have a video hosted on YouTube or Vimeo, you can insert its hosting-page URL instead.

In Microsoft 365 or PowerPoint 2024 on Windows, copy the video’s hosting-page URL and select Insert > Video > Online Video. On Mac, select Insert > Video > Online Movie; in PowerPoint for the web, select Insert > Online Video. Paste the URL and select Insert. Online videos require internet access for playback.

If online insertion is unavailable in Microsoft 365 desktop with a personal account, open File > Account > Account Privacy > Manage Settings and review Connected experiences. Microsoft classifies online video insertion as an experience that downloads online content. Changing these preferences does not repair a local video’s encoding.

With a work or school account, your organization may control connected experiences. On managed Microsoft 365 Apps for enterprise or business on Windows, ask your administrator to review the policies controlling connected experiences and online content downloads.

Frequently Asked Questions

Can Optimize Compatibility fix a video that will not insert?

In current Windows desktop PowerPoint, Optimize Compatibility processes media already in the presentation, so it cannot process a file that never inserted. Optimization removes embedded subtitles and alternate audio tracks. For existing media that PowerPoint identifies as needing optimization, select File > Info > Optimize Compatibility, if offered. If another author can insert the video, you can ask them to optimize the presentation before sharing it.

How do you link a video instead of embedding it?

Keep the presentation and video in the same folder. In current Windows desktop PowerPoint, select Insert > Video > This Device, choose the video, open the arrow beside Insert, and select Link to File. On Mac, select Insert > Video > Movie from File, choose the video, open Show Options, select Link to file, and select Insert. The linked video must remain accessible.

Can a slide open the video outside PowerPoint?

You can add a hyperlink to a video file or webpage in current Windows desktop PowerPoint. Select slide text, a shape, or a picture, then select Insert > Link > Insert Link > Existing File or Web Page. Choose the video file or enter its webpage URL in Address, then select OK. This gives you access to the video without embedding it.

Can an existing linked video be embedded before sharing?

You can embed an existing linked video in current Windows desktop PowerPoint when your computer and account can access the source. Selecting Break Link changes the video from linked media to embedded media. Under the compatibility information, select View Links, then select Break Link for each video you want to embed.
