You have a file, webpage, email, note, scan, or photo that needs to become a PDF, and the right button is not always in the same place. The fastest path depends on where the content starts: a printable screen, a browser page, a document app, or paper. Use the section that matches your device first, then move to the app-specific options when you need cleaner export controls.

1. Start with print to PDF on Windows Mac and Chromebook

Start here when the item already opens on screen and has a print command. This route works for everyday webpages, emails, images, and documents without installing a separate PDF app.

On a Mac, open the document, choose File, then Print.

Next, select the PDF button or down arrow, choose Save as PDF, pick a name and location, then select Save.

Use Security Options when the PDF needs passwords for opening, copying, or printing.

On a Chromebook, open the printable page or file, press Ctrl+P, set Destination to Save to PDF or Save as PDF, then select Save.

If Microsoft Print to PDF is missing on Windows 11, restore it from Settings, System, Optional features, More Windows features, Microsoft Print to PDF, then OK.

Windows 10 includes the feature, but consumer Windows 10 support ended on October 14, 2025.

2. Save browser pages without a separate app

In Chrome on Windows, Mac, Linux, or ChromeOS, open the page, image, or file, select More, then Print, or press Ctrl+P on Windows and Linux or Command+P on Mac.

Then set Destination to Save as PDF, then select Save.

In Firefox on desktop, select the menu button, choose Print, or press Ctrl+P or Command+P.

After that, open the Destination dropdown, choose Save to PDF, then select Save.

In Chrome for Android, open the page, select More, Share, then Print.

Once the print screen appears, open the printer dropdown, choose Save as PDF, choose the location, then tap the PDF or print save icon.

In Firefox for Android, open the page, tap the three-dot menu, choose the share icon, select Save as PDF, then tap Download.

The PDF goes to Downloads.

In Firefox for iOS, take a full-page screenshot, tap the thumbnail, choose Full Page, tap Done, then choose Save as PDF.

Desktop browsers use the print dialog, while mobile browsers hand the page to the phone's print or share system.

3. Make PDFs on iPhone and iPad

Pick the iPhone or iPad path based on whether you are saving a webpage, capturing a full page, or scanning paper.

For a Safari webpage, open the page, tap More, choose Share, then tap Markup.

Add annotations when needed, tap More, tap Done, then choose Save File To.

Enter a file name, choose the save location, then tap Save.

For a full-page PDF from a webpage, document, or email, take a screenshot first.

On Face ID devices, press the Side or Top button and Volume Up together.

On Touch ID devices, press the Side or Top button and Home together.

Tap the thumbnail, choose Full Page, tap Done, then select Save PDF to Files.

For paper, use Apple's scanner inside Notes or Files.

In Notes, create or select a note, tap the attachment button, choose Scan Documents, place the page in view, capture it with auto scan or the shutter button, then tap Keep Scan and Done.

In Files, tap More, choose Scan Documents, capture the page, tap Keep Scan, tap Done, choose a location, then select Save.

4. Create PDFs on Android and Samsung Galaxy

Android's built-in PDF option sits behind each app's print or share menu, and the first tap changes by app.

Open the content in the app that holds it, then use that app's More, Share, or Print command.

Choose Print, open the printer dropdown, select Save as PDF, tap the PDF or download icon, choose a name and location, then tap Save.

On Samsung Galaxy phones and tablets, open the email, photo, webpage, or document.

Use More options or Share, choose Print, tap Select printer, choose Save as PDF, tap the yellow PDF icon, choose the location, then select Save.

For paper scans, use Google Drive or Files by Google.

In Google Drive for Android, tap Camera at the bottom right, capture the document, adjust the scan, tap Done, choose .pdf, optionally set a Location, then tap Save.

In Files by Google on Android 8.0 and later, tap Scan, capture the document with Auto capture or Manual, preview or edit it, then find the finished PDF in Downloads under Scanned.

The printer dropdown is the key part when you are not scanning paper.

5. Export files from Office Google apps Pages and Canva

Google Docs, Sheets, and Slides on the web: open the file, choose File, Download, then PDF document (.pdf).

For large Google Docs files in Chrome, use File, Print, Destination, Save as PDF, then Save.

Google Docs, Sheets, and Slides mobile apps: open the file, tap More, choose Share & export, use Save as or Send a copy, then select PDF or PDF document (.pdf).

Microsoft Word for Windows: choose File, Save a Copy or Save As, Browse, set the file type to PDF, then select Save.

Excel, PowerPoint, and Publisher use File, Save As or Export, then PDF (*.pdf).

OneNote for Windows: choose File, Export, select PDF (*.pdf), then choose Export.

Word for the web: choose File, Export, then Download as PDF or Download as PDF with comments, then select Download.

Office mobile apps: on Android, open the file, tap File on the three-dot icon, choose Print, open Select a printer, choose Save as PDF, tap the PDF icon, choose a location and name, then tap Save.

On iPhone or iPad, open the file, tap the three-dot menu, choose Export, select PDF, then choose the save location.

Apple Pages, Numbers, and Keynote: on Mac, open the file and choose File, Export To, then PDF.

On iPhone or iPad, tap More, choose Export, then PDF.

LibreOffice: choose File, Export As, Export as PDF, set the options you need, then select Export.

Canva: open the design, choose Share, Download, set the file type to PDF Standard or PDF Print, then select Download.

When the content starts as a document, spreadsheet, presentation, or design, these export commands preserve the file as a document export instead of treating it like a printed page.

Samsung Notes has its own export path for notes and annotated PDFs.

Open the note, tap More options, choose Save as file, select PDF file, choose the folder, tap Done, rename the file when needed, then tap Save.

6. Use dedicated PDF tools when export is not enough

Use dedicated PDF tools for conversions, scanner controls, webpage captures, and workflows that already live inside Adobe or Microsoft 365.

In Acrobat Reader on desktop, sign in, choose Create PDF in the right pane or go to Tools, then Create PDF.

Choose Select File To Convert To PDF, then select Convert or Convert to PDF.

Adobe lists this as a service-backed feature, so use the official Acrobat download or Reader page when installing Adobe software.

In Acrobat on the web, open Convert, choose Convert to PDF, select the matching conversion tool for the file type, upload or select the file, then download the result.

Adobe's online PDF converter follows the same pattern: choose Select a file, upload the file, convert it, then download the PDF.

Full Acrobat on desktop adds scanner and webpage tools.

To scan, choose Create from the global toolbar, select Scanner in the left rail, pick the scanner from the Scanner dropdown, configure the scan or OCR settings, then scan to PDF.

To convert a webpage, choose Create, select Web page, enter the URL, configure the options, then create the PDF.

Microsoft 365 Copilot app also has a file conversion command for Word, Excel, and PowerPoint files.

In the Microsoft 365 Copilot app, use Search, find the file, hover over the filename, choose More actions, then Convert to PDF.

The PDF is created in the same folder as the source file.

Built-in print and export tools still cover the everyday job.

7. Scan paper from a Mac iPhone or cloud app

On Mac with a connected scanner, open the macOS scanning interface, choose PDF as the format, then scan and save.

Use the available OCR or combine-pages options when they appear in that scanning flow.

With a Mac and nearby iPhone or iPad, Control-click where the scan should appear in a supported app, choose Insert from iPhone or iPad, then Scan Documents.

You can also use the app's File or Insert menu, then Insert from iPhone or iPad, then Scan Documents.

In OneDrive mobile, tap Add or the + button, then choose Scan or Scan photo depending on your app version.

Allow camera access when prompted, capture the scan, then tap Save in the destination you want.

In Adobe Acrobat desktop, use Create, Scanner, the Scanner dropdown, your scan or OCR settings, then scan to PDF.

Use a scanning flow when the starting point is paper: receipts, signed forms, printed school pages, or mailed documents.

Do not use Microsoft Lens for new scan-to-PDF work.

Microsoft retired Lens in 2026, ended support after February 9, 2026, and says new scans stopped working after March 9, 2026.

8. Check school and work restrictions last

If the PDF button disappears only on a school or work file, the account policy is the answer.

Google Workspace admins can block downloading, printing, or copying Drive files, which blocks common PDF download and print-to-PDF paths.

Microsoft 365 organizations can block or warn on Print to PDF in Outlook Desktop when mandatory sensitivity labeling rules apply.

Outlook Desktop itself does not offer a PDF export command, so ask the file owner or IT team for an approved PDF copy or an approved policy configuration.

Do not bypass controls on a managed account.
