You know an email is there, but Outlook search returns nothing, skips recent messages, or stops responding. Start with the search wording and folder scope, then use the fixes for your version below. New Outlook, classic Outlook for Windows, and the mobile apps have different search controls, so match the repair to the app you use.

This fixes missing results caused by restrictive search terms or the wrong search scope.

Search for a complete word or its beginning. Classic Outlook, new Outlook, and Outlook.com use prefix matching, which means a search for only the middle or ending of a word misses matches.

Remove unnecessary restrictions from your query.

For too many matches, narrow the query with a sender or subject, such as from:Alex or subject:invoice.

In new Outlook, select the account containing the message.

Choose All Folders as the search scope.

Repeat the search separately for each account you need to check.

In classic Outlook, click Search.

Choose the scope that covers the message, such as Current Mailbox or All Mailboxes.

To clear a stuck classic Outlook search filter, select Search > Close Search.

Run the search again.

If new Outlook misses deleted or offline mail

Use these settings when new Outlook leaves out deleted messages or mail you need while offline. Deleted-mail inclusion and offline storage have separate controls.

For deleted mail, open Settings > General > Search.

Under Search results, enable Include deleted items.

Select Save.

For messages missing during offline searches, open Settings > General > Offline.

Choose a longer period under Days of email to save, up to 180 days.

Choose the coverage you need under Folders to save.

Turn on Enable offline email, calendar, and people if offline access is disabled.

Reconnect to the internet to download the selected content before searching offline again.

Use web search to find server-held messages

Sign into your mailbox in Outlook on the web or Outlook.com. Enter your query in Search and press Enter. This searches server-held mail when the desktop app fails; it does not search a PST stored only on your computer.

Open Filters to review Folders, From, To, Subject, and date restrictions. Use the date controls to avoid ambiguous typed dates. For property searches, leave no space after the colon, as in subject:invoice.

Select Exit Search to clear the current search before starting over. For broad searches, use more specific terms or restrict the search to a folder. Microsoft documents a 1,028-item results limit for the Exchange Online web search scenario covered in its missing-results guidance.

For browser problems, retest in a current supported browser: Edge, Firefox, or Chrome on Windows, or any of those plus Safari on Mac. Microsoft identifies ad and pop-up blockers as a potential source of Outlook.com interference. In Edge, open Extensions > Manage extensions, turn off the suspected blocker, and reload Outlook to retest.

Check classic Outlook indexing before rebuilding it

Press Ctrl+E in classic Outlook for Windows.

Open Search > Search Tools > Indexing Status.

Allow an unfinished index to complete. A remaining-item count that never decreases indicates a problem requiring further troubleshooting.

Open Search > Search Tools > Locations to Search.

Select every data store you need searched.

Open File > Options > Search > Indexing Options.

Check whether Microsoft Outlook is included.

If it is missing, select Modify.

Enable Microsoft Outlook.

Confirm the selection.

If search still fails after indexing finishes, close Outlook.

Open Control Panel > Indexing Options > Advanced > Index Settings > Rebuild.

Select OK.

When classic Outlook cannot find older or recent mail

A limited offline download range leaves older messages outside the local cache used for searches.

For an Exchange or Microsoft 365 account using Cached Exchange Mode, open File > Account Settings > Account Settings.

Select the affected account.

Choose Change.

Under Offline Settings, move the retention slider to All or a longer period.

Complete the dialog.

Restart Outlook.

Allow synchronization and indexing to finish.

For missing recent messages, check Outlook's connection status.

If it says Working Offline, select Send / Receive > Work Offline to remove the button's highlighted state.

If Outlook reports Disconnected, restore your network connection.

For deleted messages, open File > Options > Search.

Check Include messages from the Deleted items folder in each data file when searching in All Items.

Select OK.

Restart Outlook to apply the deleted-mail search setting.

Update or repair the Windows app

In classic Outlook, open File > Office Account > Update Options. Select Enable Updates if updates are disabled, then select Update Now. If update controls are managed or missing, contact your organization's administrator.

For a Microsoft Store installation of new Outlook, open Microsoft Store and select Check for Updates. Install available Outlook updates. Reopen the app after installation.

If new Outlook is frozen, right-click Start and open Task Manager. Select Microsoft Outlook and choose End task. Reopen Outlook once the process closes.

For persistent classic Outlook problems in a Click-to-Run Office installation on Windows 11, right-click Start and open Installed apps > Microsoft 365 or Office > … > Modify. Try Quick Repair; if that fails, choose Online Repair > Repair. The repair covers the installed Office suite.

Restore missing results on a Mac

This addresses restrictive filters and incomplete local account data in Outlook for Mac.

Open Search at the top of Outlook.

Select Filters.

Review the restrictions for Folders, From, To, Subject, keywords, dates, and attachments.

Select Exit Search to clear the search.

Run the search again.

For Microsoft-installed Outlook, open Help > Check for Updates > Update.

For an App Store installation, select App Store > Updates > Update beside Outlook instead.

Before resetting an account with incomplete or corrupted local data, verify that its server-held information is synchronized. Resetting deletes unsynchronized information.

For an account with a reset control, open Tools > Accounts.

Select the affected account.

Choose Manage > Reset Account to download the account data again.

If search still fails, select Help > Contact Support. Ticket creation fails by design on an unsupported macOS release or on an Outlook for Mac build earlier than 16.85.24051214, so update macOS — Microsoft supports the three most recent major releases — and Outlook first.

On mobile, submit the search before resetting anything

An unsubmitted query leaves the complete results undisplayed in Outlook for iOS and Android.

After entering your query, press Search or tap a suggested result.

If searches still fail, force-close Outlook.

Reopen the app.

Try the search again.

If account data remains incomplete, open Outlook's Settings.

Select the affected email account.

Tap Reset Account to refresh the local account data.

For persistent synchronization problems, select the affected account in Settings.

Choose Delete Account > Delete From This Device.

Add the account again.

Allow synchronization to finish. This addresses missing account data caused by synchronization problems; it does not guarantee a repaired search index.

Get targeted help when search still fails

Choose the route that matches your Outlook version and symptoms.

Choose the connectivity troubleshooter when synchronization or server access is failing.
