You open a PDF to fix one line, sign a form, move a page, or mark up a scan, and the tool in front of you does only half the job. The fix is choosing the right kind of PDF edit before you touch the file. Start with the path that matches your task, then use the exact menu labels below to save a clean edited copy.

1. Match the PDF edit to the right tool

PDF editing is not one job. Replacing existing words or images inside the file requires a full PDF editor such as Adobe Acrobat Standard, Adobe Acrobat Pro, Acrobat on the web, or another comparable editor. Filling blanks, signing, highlighting, drawing, and adding notes are lighter edits that browser viewers, Apple Markup, Google Drive, OneDrive, and Files by Google handle well.

Use conversion when the PDF is mostly text and you need to rewrite it. Microsoft Word and Google Docs turn the PDF into an editable document, then export a new PDF.

Use page tools when the job is moving, deleting, combining, cropping, or rotating pages; Apple Preview handles those page edits on a Mac.

Make a copy before conversion or heavy editing. Word and Google both warn that PDF conversion changes formatting, so treat the converted document as a new version, not the original file.

2. Change existing text and images in Adobe Acrobat

Use Acrobat when the words or images already printed into the PDF need to change. Adobe Acrobat Reader is not the right tool for that job; Adobe says Reader handles viewing, printing, commenting, filling, and signing, but it cannot permanently edit existing PDF text or images.

3. Use Acrobat online or on your phone

Acrobat on the web is the Acrobat route when you want to work in a browser.

Go to Acrobat on the web, choose Edit, select Edit text & images, choose Select a file, upload the PDF, then click the text or image you want to edit.

The Edit panel includes Rotate right, Rotate left, Delete image, Replace image, and Add text.

On Android, open the PDF in Acrobat, tap Edit PDF in the bottom menu, choose Add text, tap the document, enter the text, then use Color picker and Text size.

On iPhone or iPad, open the PDF in Acrobat, tap Edit PDF, choose Text, set the color and size, enter the text, then tap Submit.

To change existing text on iOS, tap the text, adjust the handles, select Edit text, make the change, then tap Done.

Adobe says Acrobat mobile editing requires an Adobe Acrobat subscription.

4. Convert a text PDF in Word or Google Docs

In Microsoft Word, select File then Open.

Choose the PDF and open it.

When Word says it will make a copy and convert the contents, select OK.

Edit the converted Word document.

Export the result with Export, Create PDF/XPS Document, then Create PDF/XPS.

Choose where to save the file, then select Publish.

Google Drive follows the same idea in a browser.

On a computer, open Google Drive, right-click the PDF, choose Open with, select Google Docs, edit the converted document, then export it with File, Download, and PDF Document (.pdf).

Google says formatting does not always transfer.

When you still have the original Word, Excel, PowerPoint, Publisher, or other Office file, edit that source file instead.

Then export a fresh PDF from the Office app.

5. Fill, sign, highlight, and annotate in a browser

A browser is the fastest route for forms, signatures, highlights, drawings, notes, and saved copies. It is not the route for replacing underlying non-form PDF text.

In Microsoft Edge, open the PDF, select Edit in the top toolbar, select the blank fields, type your information, select Save, choose a location and name, then select Save.

To highlight text in Microsoft Edge, select the text, right-click it, choose Highlights, and pick a color.

In Google Chrome, open the PDF and use the viewer tools to highlight, annotate, draw, fill out paperwork, sign, and take notes.

Use Zoom in, Zoom out, Fit to page, Fit to width, and Rotate for viewing changes, then save or download the edited copy.

In Mozilla Firefox, open the PDF, use Text to place text, use Draw to draw, and use Add or edit images to insert an image.

For a signature in Mozilla Firefox, click the signature icon, choose Add new signature, select Type, Draw, or Image, then select Add.

Skip old Edge instructions that send you to edge://flags for highlighting. Current Microsoft documentation treats highlighting as a built-in Edge PDF reader feature, so the supported path is the normal right-click highlight menu.

6. Rearrange and mark up PDFs in Apple Preview

Preview on Mac is built for markup and page work, not rewriting existing PDF text. Apple says Preview cannot edit the text of a PDF.

To annotate, open the PDF in Preview and click Show Markup Toolbar when the tools are hidden.

Use the Markup toolbar to add text boxes, shapes, notes, drawings, and signatures.

To move or combine pages, choose View then Thumbnails, or choose View then Contact Sheet, then drag thumbnails within the sidebar or between two open PDFs.

To crop a page, click Show Markup Toolbar, choose Rectangular Selection, select the area to keep, then crop.

To rotate, use Rotate Left; press and hold Option to use Rotate Right.

7. Mark up PDFs on iPhone, iPad, and Android

On iPhone or iPad, open the PDF in a supported app and tap Markup.

Draw with the pen, highlighter, or pencil, or tap Add and choose Add Text, Add Signature, or Add Shape.

Tap Done when the markup is finished.

In the Preview app on current iPhone and iPad software, the way you reach page thumbnails depends on the device.

On iPad, open the PDF and tap Toggle Sidebar.

On iPhone, open the PDF and tap the page count to show thumbnails; if the page count does not appear, pinch two fingers together or apart on the page.

On either device, touch and hold a page thumbnail, then choose Insert Blank Page, Insert from File, Scan Pages, or Delete Page.

Drag thumbnails to move pages, use Crop to crop, or open More and choose Rotate Left or Rotate Right.

In Google Drive for Android, open the PDF in preview mode.

Tap the annotate button at the bottom right.

Use the toolbar with a stylus or finger.

Tap and hold the toolbar to snap it to a side of the screen.

Files by Google gives Android another markup path.

Open Files by Google, find the PDF under Recents or search for it, tap the PDF, tap Edit at the bottom right, then use tools such as Pen.

8. Save signatures, mobile markup, redactions, and protections correctly

For OneDrive mobile markup, open the PDF in OneDrive.

On Android, tap Markup, then choose Pen, Highlight, Note, Text, or Erase.

For Signature, Date, or Image, tap and hold Text, then select the option you need.

On iPhone or iPad, tap the annotation tool at the bottom, use tools such as Note, Text, Shapes, Signature, Image, Date, pen, or highlighter, then save.

For a permanent redaction, do not cover text with a box or highlight.
