Reconciling in QuickBooks Online means matching the transactions in QuickBooks to your bank or credit card statement until the difference is $0.00. The current QuickBooks Online path starts at All apps, then Accounting, then Reconcile. Start with the standard web workflow, then use the fixes below only when the numbers do not line up.

Start with the normal reconciliation screen

The most common starting point problem is being in the wrong QuickBooks area, especially if you are following older instructions. Open QuickBooks Online in a web browser, then go to All apps, choose Accounting, and select Reconcile. If this is your first reconciliation, choose Get started. Otherwise, choose Reconcile.

Use the Account dropdown to pick the bank account, credit card account, or other account you want to reconcile. Review the Last statement ending date so you can confirm you are working on the next statement period. Enter the Ending balance and Ending date exactly as shown on your statement.

Select Start reconciling. Select the checkbox beside each matching transaction until Difference shows $0.00. Select Finish now, then select Done.

Match each transaction carefully

Open the reconciliation window and keep your bank or credit card statement beside it. Look at the first transaction on the statement, then find the matching transaction in QuickBooks. Select the checkbox beside that transaction only when the date and amount match your statement.

Move through the statement one transaction at a time, checking off each match in QuickBooks. Watch the Difference amount as you work, and stop when it reaches $0.00. Select Finish now only after the difference is zero.

Select Done. A clean reconciliation depends on matching the statement you have, not the balance you expected.

Use an uploaded or imported statement

This option applies to QuickBooks Online Plus, QuickBooks Online Advanced, and Intuit Enterprise Suite. QuickBooks can fill in statement details from an uploaded statement or Statement Auto Import.

Go to All apps, then Accounting, then Reconcile. Select Upload or use Statement Auto Import. Find and select the bank statement you want to reconcile. Let QuickBooks enter the Ending balance and Ending date.

Wait while AI Powered Reconciliation extracts the statement details. Select Start reconciling. Review the Insights tab before you finish, including Paired transaction, Transactions in bank feed needs review, and Extra transactions in QuickBooks that are already uncleared.

Resume work you already started

This fixes an unfinished reconciliation you paused before reaching $0.00. Go to All apps, then Accounting, then Reconcile. Choose the account from the Account dropdown.

Select Resume reconciling. Continue checking matching transactions against your statement. Finish only when Difference is $0.00. Select Finish now, then select Done.

Fix the ending balance or date before finishing

The most common reason a reconciliation will not balance is an Ending balance or Ending date that does not match the statement. Stay in the reconciliation window and select Edit info. Review the Ending balance and Ending date. Compare both fields with the statement you are reconciling.

Change the balance or date when QuickBooks does not match the statement. Select Save. Continue matching transactions, then finish once the balances match and Difference is $0.00.

If you have reviewed everything and only a small discrepancy remains, QuickBooks allows an adjusting entry as a last resort. Select Finish now, select Done, then choose Add adjusting entry when QuickBooks says the account is not balanced.

Set the opening balance before the first reconciliation

This applies to a new or manually created balance-sheet account. The opening balance gives QuickBooks a starting point before you reconcile normally.

Go to All apps, then Accounting, then Chart of accounts. Select New. Name the account and choose the account type, such as Bank, Asset, Credit card, Liabilities, or Equity.

Choose the detail type. If the account should sit under another account, check Make this a subaccount and choose the parent account. Enter the Opening balance and the starting date in As of. Select Save, then return to reconciliation and follow the normal steps.

When an account has no opening balance and has not already been reconciled, confirm it from Chart of accounts and View register. Select + Create, then choose Journal entry. Enter a date before the oldest transaction.

Use the account on one row and Opening Balance Equity on the other. Enter the debit and credit amounts from the bank statement. Select Save and close.

Open that journal entry from the register, select the checkmark-column box until R appears, then select Save. After that, reconcile the account normally.

When QuickBooks says the beginning balance is off

Use this when QuickBooks blocks reconciliation because a previously reconciled account no longer starts with the expected beginning balance. You need admin access for this repair path.

Go to All apps, then Accounting, then Bank transactions. Make sure every transaction from the period is matched, categorized, posted, or excluded. Return to All apps, then Accounting, then Reconcile.

Select the account under Which account do you want to reconcile?. When QuickBooks shows the alert that your account is not ready to reconcile because the beginning balance is off, select We can help you fix it. Review each item in the Reconcile Discrepancy Report and follow the suggested fix. Fix the listed items, then reconcile the account again.

Undo or correct a past reconciliation

The most common reason to revisit a finished reconciliation is that one transaction was marked incorrectly or a whole reconciliation was finished with the wrong details.

To unreconcile one transaction, go to All apps, then Accounting, then Chart of accounts. Find the account and select View register. Locate the transaction with R in the checkmark column and open it.

Select the R box repeatedly until it cycles from R to C to blank. Select Save. Reconcile the account again correctly after removing that reconciled mark.

To undo an entire reconciliation as a Primary admin, in-house accountant, or accountant user, go to All apps, then Accounting, then Reconcile. Select History by account. Choose the account and date range, then find the reconciliation. Open the dropdown in the Action column and select Undo.

Review the confirmation and select the acknowledgement checkbox. Choose Undo reconciliation. Undoing an entire reconciliation also undoes every reconciliation completed after the one you picked, not just that statement period, and it permanently deletes the reconciliation report and attachments. Download any reconciliation reports and save any attachments you still need before you undo.

Open the web app instead of the mobile app

This applies when you are trying to reconcile from the QuickBooks mobile app. QuickBooks bank account reconciliation is available in the web experience, not the mobile app.

Open a web browser on a computer, laptop, or tablet. Sign in with the same Intuit account you use for the QuickBooks mobile app. Select the company when QuickBooks asks. Go to All apps, choose Accounting, and open Reconcile.

Follow the standard reconciliation flow from there. Use the current All apps, Accounting, Reconcile path in QuickBooks Online. The Banking menu and Reconcile path belongs to QuickBooks Desktop, not QuickBooks Online.
