When your Fairphone 5's email stops syncing or sending, it can leave you feeling disconnected. You might miss important messages or find yourself unable to reply to time-sensitive work. The modular, long-lasting design of the Fairphone is great, but email issues can happen on any Android device.
Before we get into the specific steps, let's cover a few quick checks. Make sure you have a stable internet connection, either via Wi-Fi or mobile data. It's also worth verifying that your email service itself isn't down by checking its status page online. Finally, double-check that you're using the correct email address and password.
Restart the Email App
This is often the fastest fix for a temporary glitch. Swipe up from the bottom of your screen and hold to enter the recent apps view. Find your email app, whether it's Gmail, Outlook, or the built-in Fairphone email client, and swipe it up to close it. Wait a moment, then tap the app icon to reopen it and see if the problem is resolved.
Check Your Sync and Background Data Settings
Android manages how apps fetch data in the background to save battery. If these settings are too restrictive, your email might not update automatically. Go to Settings > Accounts & backup > Manage accounts.
Select your email account and look for a sync settings option. Make sure the toggle for syncing Mail or that specific account is turned on. You should also check the app's own battery settings. Go to Settings > Apps, select your email app, then tap Battery. Set it to "Unrestricted" to ensure it can sync in the background without limitations.
Toggle Airplane Mode
A quick network reset can clear up temporary connectivity hiccups that affect email. Swipe down from the top of your screen twice to open the full Quick Settings panel. Tap the Airplane mode icon to turn it on, wait about 15 seconds, then tap it again to turn it off. Your Fairphone 5 will reconnect to Wi-Fi and mobile networks, which often resolves the issue.
Switch Between Wi-Fi and Mobile Data
Sometimes the problem is with one specific network. If emails won't come through on Wi-Fi, try turning it off to force the phone to use your mobile data. You can do this from the Quick Settings panel. If the emails work on mobile data, the issue is likely with your Wi-Fi router or internet connection. Conversely, if mobile data isn't working, ensure data is enabled for the email app in Settings > Network & internet > Data usage > Mobile data usage.
Verify Your Account Login Details
Passwords expire or get changed, especially with work or school accounts that enforce regular updates. The simplest test is to try logging into your email account through a web browser on a computer. If you can't log in there, you'll need to reset your password through your email provider's website. Once you have the new password, you'll need to update it on your Fairphone.
To update it, go back to Settings > Accounts & backup > Manage accounts. Tap your email account, then tap Remove account. Don't worry, this usually just removes the account from the phone, not from the service. After removing it, go through the process of adding the account again with the new, correct password.
Update Your Email App and Android
Outdated software is a common source of bugs, including email problems. Open the Google Play Store, tap your profile picture, and go to Manage apps & device. Check for updates for your specific email app. It's also crucial to keep Android itself updated. Fairphone's promise of 8+ years of software updates means there will be regular patches.
Check for system updates by going to Settings > System > System update. If an update is available, it's a good idea to install it, as it may contain fixes for connectivity or app compatibility issues. Make sure your phone is charged above 50% or plugged into its 30W USB-C charger before starting the update.
Clear the App's Cache and Data
Over time, an app's temporary cache files can become corrupted. Clearing them can fix strange behavior without deleting your account. Go to Settings > Apps, select your email app, then tap Storage & cache. Tap Clear cache first. This is safe and won't erase your emails or login.
If the problem persists, you can try Clear storage or Clear data. This is a more significant step, as it will remove the app's settings and log you out. You'll need to set up your email account again afterward, but your emails are stored on the server, so they will redownload.
Check Notification Settings
If emails are arriving but you're not getting alerts, the notification settings might be off. Long-press on your email app's icon on the home screen and tap App info. Then, tap Notifications. Here, make sure notifications are turned on for the app overall. You can also drill down into specific notification categories, like "New mail," to ensure they are enabled and set to make a sound or vibrate.
Review Date, Time, and Security Settings
Incorrect date and time can cause security certificate errors that block email syncing. Go to Settings > System > Date & time and make sure "Use network-provided time" is enabled. Also, if you're using a VPN or a very restrictive firewall, try temporarily disabling it. VPNs can sometimes interfere with the ports your email app uses to connect to its servers.
Perform a Soft Reset
A full restart can clear out system-level glitches affecting all apps, including email. Press and hold the Power button on your Fairphone 5 for about 10 seconds until you see the power menu. Tap "Restart." If the screen is unresponsive, you can perform a force restart by pressing and holding the Power button for over 10 seconds until the device vibrates and reboots.
Add Your Account to a Different Email App
This is a great way to figure out if the problem is with your specific email app or with the account itself. Try installing a different, reputable email client from the Play Store, like FairEmail or K-9 Mail (which are popular choices for their privacy focus). Set up your same email account in this new app. If it works perfectly, the issue is isolated to your original app's configuration or installation.
