Outlook showing the wrong working hours? Set a schedule that matches your actual workweek, including shorter days and split shifts. Start with the recurring schedule editor in new Outlook or Outlook on the web, then check the options for your app below.
Set your schedule in new Outlook or on the web
In new Outlook for Windows or Outlook on the web, check your working days under Settings > Calendar > Work hours and location. This editor requires a work or school account with a qualifying Microsoft 365 subscription. Choose each day's beginning and ending times from its dropdowns. Friday doesn't have to match Monday.
For a split schedule, select the + button beside a day to add another interval. You can enter separate morning and afternoon working periods. Select Save. Return to this page whenever your recurring schedule changes.
Check your account if the editor is missing
An account without a qualifying Microsoft 365 work or school subscription does not qualify for the modern Work hours and location editor. Check that you're using your eligible work or school account. Personal Outlook.com accounts do not have the same modern editor.
In new Outlook for Windows, open Calendar > View > Calendar settings > Work hours and location for another route to the settings. If you use Outlook on iPhone or Android, open Outlook on the web with your eligible organizational account to edit the schedule.
Classic Outlook and older web interfaces use a legacy daily range. The modern editor supports different hours and multiple intervals per day. Once you've configured modern hours, later changes to legacy hours do not overwrite that schedule.
If your work account cannot access the editor, ask your IT team to check your account's eligibility and mailbox schedule. Administrators and authorized applications have technical configuration options.
Adjust working hours in Outlook for Mac
Outlook for Mac has calendar preferences for editing working hours and weekdays. For the modern recurring schedule with different hours per day, use Outlook on the web with a qualifying work or school account.
Press Command+Comma to open Outlook Preferences. Then use Tab to reach Calendar and press Control+Option+Spacebar to open it.
Use Tab to move through the working-hours and weekday settings. Press Spacebar to select a control for editing, then change the desired values. Press Command+W to close the preferences window when you're finished.
Use Teams to change your shared work schedule
In Teams, choose your working weekdays under Calendar > More options > Calendar settings > Work hours and location. This route applies to organizational accounts with these calendar settings. Set each day's beginning and ending times. You can give each weekday its own hours.
Select Add work hours beside a day to create another interval for a split schedule. Then select Save to keep your changes.
Add time off for a particular date
Open the relevant date in your calendar in new Outlook for Windows or Outlook on the web with the organizational work-plan experience. Select Work plan > Out of office, then enter a title for the time off. Set the beginning date and time.
Next, set the ending date and time. Select Save. Use this for a dated exception, because it creates an out-of-office appointment without replacing your recurring working hours.
Correct hours shown in the wrong time zone
A time-zone mismatch affects how your working hours are interpreted and displayed. Correcting it does not change the length of your workday. In Outlook on the web, open Calendar > Settings > Calendar > View.
Find Time zones. If Outlook displays a mismatch prompt, follow it to update the meeting-hours time zone. If the hours still look wrong, review each day's beginning and ending times under Settings > Calendar > Work hours and location.
Allow time for your profile card to update
A profile-card display delay leaves your previous schedule visible for up to 12 hours after a change. After selecting Save, allow up to 12 hours for your updated hours to appear on your profile card. If the old hours remain after that window, check your saved schedule under Settings > Calendar > Work hours and location.
Working hours inform scheduling and availability displays. Focus plans, meeting creation, and Bookings availability have separate settings; changing them does not edit your Outlook work schedule.
Frequently Asked Questions
Does setting working hours turn off Outlook notifications outside those hours?
No. Notification quiet hours are a separate setting. Setting your working hours does not configure them.
Can I change my hours from a profile-card suggestion?
Yes. If your profile card displays a schedule suggestion, select Review your hours. Review your schedule in the Outlook editor, then select Save. The suggestion appears when your Microsoft 365 activity differs from the working hours on your calendar. You can also edit your hours at any time under Settings > Calendar > Work hours and location.
Will changing my work location in Teams change my working hours?
No. Teams profile-menu work-location controls change your location, not your schedule. Use Calendar > More options > Calendar settings > Work hours and location to edit your hours.
Do legacy time-zone changes affect a modern working-hours schedule?
Yes. Legacy time-zone changes still propagate to the modern schedule, even though later changes to legacy working times do not overwrite modern hours.
